Scheduling/nursing Clerk – Full Time Permanent

This is a Contract position in Scarborough, ON posted May 2, 2022.


Candidates are invited to apply for the Full-Time position of Scheduling/Nursing Clerk at our 151-bed long-term care unit located in Scarborough, Ontario. Reporting to the Director of Care, the Scheduling/Nursing Clerk performs clerical, receptionist and scheduling duties within the Nursing Department.


  • Perform clerical duties including preparing monthly reports, typing, word processing, photocopying, faxing, new employee reference checks, and filing
  • Receive and direct all incoming calls and record and distribute messages to personnel in an accurate and timely manner
  • Understand and maintain staffing schedule within the Nursing Department. Also doing the payroll for the Nursing Department, accommodating for sick/absent call-ins and vacation time.
  • Greet and direct all visitors and ensure that the reception area is always staffed during regular office hours
  • Maintain, stock and distribute Prevail incontinence program for the nursing home
  • Assists with ordering, receiving, and storing of various nursing supplies. Being able to lift up to 8 kgs.
  • Minute taker on various committees
  • Monitor front door for wandering residents and assist as needed
  • Adhere to established department policies and procedures regarding quality assurance, fire, safety, environment and infection control.
  • Performs other duties as assigned by Supervisor or delegate.



  • Secondary School Graduation Diploma
  • Working knowledge of computers (Word/Excel).
  • Experience with scheduling/payroll computer system
  • Understanding of geriatrics and working with the elderly would be an asset
  • Minimum 1 year office experience.
  • Ability to work effectively individually and with others while prioritizing tasks to handle the most urgent first.
  • Ability to present information clearly and effectively both verbally whether in person or over the phone, and in writing; an active listener who projects a friendly demeanor.
  • Ability to work effectively within a variety of stressful situations and challenges, and with various individuals or groups.
  • Ability to collect and use information to thoroughly think through problems and situations; puts information from various sources together to see the ‘big picture’ and generate creative solutions.
  • Ability to prioritize and focus action on what is best for the organization through an understanding of the key business issues.
  • Proven integrity through open and honest interactions with colleagues and encourages active participation and commitment from others in the pursuit of common goals; understand roles, set expectations, share information, and build consensus.
  • Proven experience in taking personal responsibility for seeking information from various sources enables others’ learning through sharing experiences, coaching and mentoring.
  • Superb organization, planning, time management and multi-tasking skills.
