Executive Assistant

This is a Part-time position in Scarborough, ON posted July 12, 2021.

What is the opportunity?

As Executive Assistant, you will report directly to the VP, Special Loans & Advisory Services (“SLAS”) in the day-to-day management of the unit proactively creating capacity by providing effective administrative support to the Executives and team who provides support across the SLAS Group.

You will provide executive administration assistance in support of the executives and the Senior Team in maintaining a high degree of confidentiality and accuracy within a fast-paced, deadline driven environment.

This position will also be responsible for extended support to 2 leaders (Vice Presidents) who are located also in the same office building – predominantly calendar maintenance, preparation of presentations and reports, supporting the senior team with travel, expense account submissions, access management, town halls, floor concierge and coordination of key events such as but not limited to Business Continuity Process (BCP).

What will you do?

Act as an interface between the VPs office and other RBC departments/teams Manage and maintain calendars, coordinate meetings, conferences, town halls and travel arrangements with varying degrees of complexity ensuring seamless and efficient use of budgeting and resources, expense reconciliation for the Executives and the Senior Team Coordinate Event Planning, i.e.

Offsite sessions, communication sessions, Town Halls, Coffee Chats, Roundtables Act as the Executive’s delegate for email and phone mail during absences, handle and forward issues, prioritizing for VP’s action upon return.

Researche and respond to routine inquiries and requests Prepare material needed for daily schedules and meeting bookings (print of pre-read materials, necessary reminders etc.) Develop communications, meeting / conference and presentation materials, weekly/bi-weekly Senior Management Team (SMT) meetings inclusive of coordinating the agenda, minutes for distribution and maintenance of Sharepoint/Connect site, forms, documents, presentations, spreadsheets, and other record-keeping databases Coordinate and administer all requirements and maintain appropriate records in managing the department including preparing and verifying expense claims and invoices, monthly audit reconciliation of travel and other expenses, supplies, telecommunications, equipment and premises requirements, updating Vacation and Absence Management System and producing / distributing monthly away lists Coordinate arrangements for the smooth and seamless employee changes and execution of onboarding plans for new hires, including equipment, premises requirements and ensuring adherence to policies and procedures What do you need to succeed?

Must-have: College Diploma or University graduate with 5 years of Executive or Administrative support experience supporting senior leadership Highly proficient in Microsoft Office (Outlook, PowerPoint, Word, Excel), preparation of presentations and reports Ability to work with minimal supervision; efficiently and accurately Superior organizational skills specifically around calendar management, scheduling, ability to organize, plan, and schedule activities Sound judgement in decision making; strong problem solving skills and resourceful in working with others and representing the office of the senior executive Highly proficient ability to compose confidential letters, memorandums and correspondence Nice-to-have: Management of outsourcing contracts Project Management/Project Coordinator experience What’s in it for you?
