We are seeking a Project Coordinator to join our growing business!

In this role, the Project Coordinator is part of a team that is dedicated to the support of art, mirror, wallcovering and wall décor sales for the company’s hospitality division. Telephone and email are the primary means of communication to designer and purchasing clients located primarily in the US. Internally, the coordinator also works with print, art, production, and shipping departments to see projects through to completion.

Primary job functions include working with clients to understand and communicate artwork and product needs according to brand and program standards, quoting, getting approvals, troubleshooting, tracking, investigating and reporting sales information and activities, intercepting sales rep, client or intra-departmental questions or concerns and proactively resolving conflicts.

We are looking for someone who is results-oriented and able to focus resources to achieve those results. Showing availability and willingness to go above and beyond whenever possible. Great taste and passion for art and design are an asset.


  • Coordinates all program orders from beginning to end
  • Delegates and reviews order entry on all standard program décor packages to the Administrative Assistant, US Hospitality Sales
  • Coordinates the split shipments of orders with the Production Coordinator to ensure those shipments go out on time and to the clients’ satisfaction
  • Advises clients on Purchase Orders (POs) with mistakes, and is responsible for correcting those errors in a timely manner
  • Administers the quotes for all custom sizes and artwork within programs, and ensures that all requests meet the hotels’ requirements
  • Proactively updates clients with regard to art packages, due dates, lead times, orders
  • Accommodates and organizes rush orders for clients as required
  • Assists the Program Specialist as required with setting up new programs and program changes
  • Conduct conference calls with clients to clarify art and project direction
  • Creates solutions for roadblocks during the project life cycle


  • Maintains the flow of communication between sales reps, clients and various departments
  • Communicates and reports on the status of projects and points out areas for required escalation to the Program Specialist for assistance
  • Reviews and double checks order entry on standard program orders that are entered by the Administrative Assistant


  • Two years’ experience as a project coordinator or similar role preferred
  • Proficient in Microsoft Office (Excel/Word/Power Point/Outlook)
  • Must be well organized, have exceptional follow-up and follow-through skills
  • Must have exceptional multi-tasking and prioritization skills
  • Comfortable in a fast-paced environment
  • Strong attention to detail
  • Strong analytical, reasoning and numeracy skills
