In accordance with the mission, vision and values of Scarborough Health Network, the Supervisor for Chart Management provides a leadership role and reports directly to the Manager, HIM – CM and Transcription. The incumbent will provide guidance and support to the CM staff, ensuring that the workflow within the department is completed efficiently and in a timely manner to support on-going patient care and coding. The Supervisor will be responsible for the operational management of the department and will work in close coordination with the current Supervisor of HIM – CM and Transcription.

Responsibilities:

• Demonstrated leadership skills, ability to mentor staff and facilitate staff development. Demonstrated ability to lead effectively, motivate and inspire others. Fosters team spirit, trust and mutual respect
• Proven ability to work in a collaborative manner with intra/interdisciplinary network and external/support services
• Ensures compliance with policies, procedures, rules and regulations.
• Ensures the appropriate administration of PHIPA – Personal Health Information Protection Act Freedom of Information and Protection Act (FIPPA), Public Hospitals Act, Health Care Consent Act, Mental Health Act.
• Review workload assignments and adjust to meet operational needs, department activity and initiates process improvement initiatives
• Provide appropriate orientation and training for new hires and acts as preceptor for students within the CM area
• Ensure overall integrity, security, access, storage and retrieval for paper and electronic patient information.
• Maintains awareness of current best practices, the future direction and new developments in chart management processes
• Performs departmental safety inspections on a monthly basis as per the Occupational Health & Safety guidelines
• Maintains and upgrades knowledge through attendance and participation at seminars, workshops and educational programs
• Engages in ethical conduct and strives to understand and appreciate the diversity of our patient/staff population and community
• Performs other related duties as assigned

Requirements:

•Certified with the Canadian College of Health Information Management (CCHIM) and an active member in good standing with CHIMA
• Minimum of two (2 years) experience in a supervisory or leadership role, or an equivalent combination of education, training and experience
• Knowledge of Personal Health Information Protection Act (PHIPA), Freedom of Information and Protection Act (FIPPA), Public Hospitals Act, Health Care Consent Act, Mental Health Act and the CUPE collective agreement
• Ability to communicate effectively, both verbally and in writing with all levels of the organization, including report presentation and writing skills
• Managing and providing harmonious team building relationships within the department
• Effective facilitation skills and the ability to motivate staff and identify areas of improvement to accomplish objectives
• Ability to work effectively, both independently and as part of a team
• Exercise sound judgment, critical thinking and effective decision-making
• Experience in analyzing and troubleshoot issues towards effective solutions
• Ability to respond quickly to changing priorities and unforeseen circumstances
• Provide sound leadership, guidance and clear direction to staff and the leadership team
• Ability to organize, prioritize and balance work
• Ability to work with all computer software applications related to HIM, chart management
• Demonstrates values consistent with SHN′s Code of Conduct and is committed to fostering a healthy and positive work environment in accordance with Health & Safety policy and legislation
• Demonstrates an understanding of and commitment to SHN’s comprehensive safety programs and practices including staff safety, patient safety, and environmental safety and participates in regular in-service education in this area
• Demonstrates excellent work performance and attendance record
